Beacon Roofing Supply- Executive Assistant

Location: Bethesda, MD

Beacon Roofing Supply, Inc., the largest publicly-held distributor of roofing and building materials, is seeking an Administrative Assistant to join its General Counselís office located in Bethesda, Maryland.  Position is part-time, approximately 30 hours a week with potential for full-time. Candidates must have excellent communication skills and MS Office experience.  Candidates must be highly organized, detail oriented, flexible and able to multi-task.  The ideal candidate will have 2 years office experience.  Duties include, but are not limited to, updating and maintaining legal files and databases, creating new files, locating and producing files when requested and performing general office duties such as typing, operating office equipment and ordering office supplies.


Job Duties

-          Garnishments- send to Wise consulting; maintain list; follow up bi-weekly to ensure that garnishments were filed and set up correctly; get confirmation from Payroll for records

-          Create and log new files in Word index and Salesforce

-          Update Salesforce for file information; close out files when appropriate

-          Order and maintain supply levels in the office; make sure we have toner/waste compartment for copier and order if necessary

-          Update expense reports in Concur

-          Check and open the mail

-          Scan, log and follow up bi-weekly to ensure legal invoices have been paid

-          Admin support as needed for attorneys including printing letters; creating UPS labels and shipping documents; setting conference calls; travel arrangements; filing; faxing
